Guaranteed - Web-based enterprise app to replace excel spreadsheets in the process of planning events. The specialized project management software manages event participants/delegates and matches them with resources (travel, hotels, passes, rides). First application case are exhibitions/trade fairs. The web-based service is offered through a SaaS model. We need 3 specific pages, which we describe in detail and provide you with wireframes. Your output needs to be psd only.

What inspires you and how do you envision the design for your business?

We are a group of serial entrepreneurs from Germany that is building a web-based enterprise app to replace excel spreadsheets in the process of planning events, specifically participants of events. The service addresses the integral questions of every event planning process: who is coming, how will they get there, where are they staying etc. and matches participants with the necessary resources, e.g. flights, car-sharing rides, hotel rooms, exhibition passes etc..

It is important to realize that the person using the service is experienced in planning events and has been using excel spreadsheets for the same task before. The planning process is an asynchronous process that often times starts twelve to six months before the respective event. The person planning the event usually also has additional responsibilities within the company he is working for. So he will use the application only every few days or weeks to work on specific tasks.

We need 3 pages, for each page we provide a wireframe screenshot:

Since the event planner uses the service irregularly, Screen1 needs to get the planner up to speed quickly. It needs to provide him with information about the tasks that he needs to take care of and provide him with an overview of the status, i.e. quota allocation, of the required resources (hotels, rides etc). This is the main page of the application, it will get most of the “page views”.

Each of the content blocks dealing with resources should be foldable as we are only going to show a maximum of two entries while there are usually more, e.g. more than two participants. In order to work on one specific block (e.g. “hotels”), the planner would unfold this block.

On the right-hand side you find a two-parts task list with context sensitive tasks (i.e. relating to the specific page the planner is on) at the top and general planning tasks in the context of the respective event at the bottom.

For every resource (hotels, rides, passes, travel) there is a page that allows the planner to allocate participants either automatically or manually to specific quotas that he has purchased or made reservations for. Screen2 contains all hotel quotas with the current participant allocation. There are two sets of representations of the quota information on Screen2: at the top there are two timetable like views for each quota (i.e. Hilton and Four Seasons) with rooms on the y-axis and the participants as content fields. These two representations are “viewing only”. At the bottom is a matrix with the different quotas at different hotels on the x-axis and all the participants on the y-axis. This representation is for editing, i.e. allocating participants.

While Screen1 and Screen2 are used by the planners only, Screen3 enables each participant to manage his profile data and all information relevant for the current event. Think about getting an invitation to an event and this is the first site you will see to submit all your data.

We haven’t done any corporate design work for our company yet. There is no logo, no history. So you are invited to invent our future appearance. We like clean layouts that are easy to code in xhtml+css and please also keep some possible ajax inplace overlays in mind. We expect layered psd files as your output. Please take a look at this list of sites of which we like the designs. The design must be unique, but use these references as ideas of the type of site we are looking for

Common design tasks: We need some function trigger symbols that are used overall and are not inserted in wireframes e.g. preferences, delete, add, mark, edit. In matrix table views an mouseover highlight for current column+row.

The winner will also be asked to do more work for us. We have some design work ahead of us that we could use help with, e.g. the corresponding website and logo which should derive from this work.

If we have to pay via Western Union, we will split the fees with the winner.


- A simple, clean look that helps an event planner to focus on the event and the tasks at hand that he needs to manage
- We want our service to be almost as easy as using excel spreadsheets. The (interaction) design needs to reflect that. Ease-of-use is an overriding topic in our communication policy
- Pay attention to the list of sites we like
- We expect light colors to best reflect our needs (even though you might prove us wrong)
- Our wireframes are meant to only describe the content and not to limit your imagination. Take them and give them your own design style
